Terms & Conditions for The Royal Hotel Clacton 

These are the terms and conditions that apply when you reserve one or more rooms with us, The Royal Hotel Clacton Ltd. You will be asked to confirm your acceptance of these terms and conditions when you make a reservation, and will be provided a copy when you check in.

We reserve the right to amend our terms and conditions at any time and you should therefore check them each time you make a reservation. Additional terms may apply to any use of our booking channels, these are published on the relevant digital channel/s.

Check in & check out
Check in will be open daily from 15:00 hours
Guests will be asked to provide proof of identity and nationality upon check-in. Overseas guests will be asked to complete a registration form and provide their identity card / passport details. Acceptable forms of identification are: a passport, driving licence, ID card or police warrant card.
Check out closes at 11:00 hours on the day of departure. The Royal Hotel reserves the right to charge a late checkout fee of £10.00 per hour per room. When rooms are available before 15:00 hours the hotel will consider requests for early check in.

Room prices
The Royal Hotel Clacton Ltd reserves the right to change our room price without notice based upon demand. When you make a reservation request, we’ll give you a total price for the rooms and number of nights you’ve requested. The price you pay is the price quoted to you at the time you make your reservation.
Room prices are per room, per night and are inclusive of VAT at the applicable rate at the time of your reservation. If the rate of VAT changes between the date of your reservation and the date of your stay, we will adjust the rate of VAT that you pay, unless you have already paid for the reservation in full before the change in the rate of VAT takes effect.

Damage and charges.
The Royal Hotel reserves the right to deduct charges from any debit or credit card used to secure a booking in the event of the following:-
A cleaning charge will be applied for excessive spillages, damage or stains to the carpet, wallpaper, bath or bed linen or furniture.
A corkage fee of £45 per person is charged for any alcohol consumed on the premises that has not been purchased from the Hotel.
Smoking is not permitted inside the hotel. A £100 cleaning fee is charged in any instance of a guest smoking inside. Should smoking cause an activation of the fire alarm system additional resetting fees and fire authority attendance costs will be charged.
Lost room keys are charged at £75 for keys with access control fob, £55 for keys without an access control fob.

Guests are free to park their vehicle in the adjacent car park for the duration of the stay, but will have to cover the cost themselves. The Royal Hotel accepts no responsibility for any damage or loss of vehicles or property in the car park.

Our expectations of you (and your group)
You must not:
• Smoke anywhere inside The Royal Hotel premises. This includes the smoking of e-cigarettes. Permitted smoking are identified on site. Smoking will result in a £100 cleaning charge;
• Bring any pets onto the premises, with the exception of assistance dogs, unless agreed by prior agreement;
• Bring any potentially dangerous or hazardous materials or equipment onto then premises;
• Use any electrical appliances that may set off the fire alarm system or pose a hazard;
• Tamper with any fire alarms or emergency equipment;
• Remove, damage or destroy any of The Royal Hotel;
• Use any of the technology provided by The Royal Hotel to download or access any unlawful or obscene material;
• Cause unreasonable disturbance to our other guests or staff.
• If you or your group cause damage or loss of any kind to the hotel, other guests or their property, you (as the person making the booking) will be responsible for that damage or loss and you shall be liable to pay to The Royal Hotel Clacton Ltd on demand the amount required to make good or remedy caused damage or loss.

If you or your group cause damage to the hotel, other guests or their property, or breach any of these terms and conditions, we reserve the right to:
• Cancel your reservation with immediate effect and (if appropriate) eject you from the premises;
• Retain all sums paid by you and/or charge you the full amount of your reservation; and/or
• Refuse future reservations from you and/or refuse you entry or accommodation at any of our hotels.
The Royal Hotel Clacton Ltd will not be liable for any refund or compensation in such circumstances.

The contract
This contract formed when we confirm your reservation is between you The Guest and us The Royal Hotel . No other person shall have any rights to enforce any of its terms, whether under the Contracts (Rights of Third Parties Act) 1999 or otherwise.

Your rights
If you are a non-business customer you have certain rights under consumer protection legislation. Nothing in these terms and conditions is intended to affect those rights.

If any part of these terms and conditions is deemed invalid, illegal or for any reason unenforceable then that part will be deleted and will not affect the validity and enforceability of the remaining parts. Any failure by us to enforce our rights under these terms and conditions or otherwise shall not be construed as a waiver by us of those or any other rights.
All rights not expressly granted in these terms and conditions are reserved.

Payment Policy

Payment Policy
You must be over 18 years of age to make a reservation.
Rooms are allocated on a first come first serve basis, You will need to provide your credit or debit card details to secure your reservation. A booking is only confirmed once completed on our system and confirmed by The Royal Hotel in the form of an email. The contract between The Royal Hotel for the provision of your room and any additional services added to your reservation will be formed when you receive this email confirmation from The Royal Hotel.
We cannot guarantee that partner booking sites will not block a room prior to a booking being completed. We do not accept any responsibility for any errors or double bookings made by third party partner booking sites.
Group bookings are bookings of 4 or more rooms. A group booking must pay the total outstanding room rate a minimum of 60 days in advance of the booking. Group bookings cannot be made through partner channels such as Booking.com or Expedia and must be made directly with The Royal Hotel.

All guests are required to pre-authorise a card with reception at check-in. A card pre-authorisation will “block” funds with your bank. A pre-authorisation of the full room rate plus additional security deposit of £100 per room will be requested. When checking out the pre-authorisation will be completed automatically, assuming the guest presents the same card for payment. The Royal Hotel will accept no liability for any loss incurred should funds be unavailable for any other banking purpose. The Roya Hotel is also unable to release funds or instruct your bank to release funds if a different card is used for final payment.

Cancellation Policy

Cancellation Policy
In the event a guest wishes to cancel a booking the following terms apply:
Group bookings [4 or more rooms] must provide a minimum of 60 days prior written notice of cancelation. There is a £10 administration fee chargeable per room.
Single or small bookings [3 or less rooms] must provide 48 hours’ notice of cancelation for a refund. There is a £5 administration fee to process refunds.
All refunds are made by bank transfer and will be processed within 14 days of confirmation of cancelation.
Guests who do not provide 48 hours’ notice will be charged the full first night room rate to the card used to secure the booking.
Our right to cancel:
We may cancel your reservation at any time with immediate effect by giving you written notice (which includes email) if:-
You do not pay us when you are required to do so; or
You break the contract between us in any other material way.
If we cancel your reservation where you are at fault, we reserve our legal rights in respect of your breach of contract.
Events outside our control:
We may also cancel your reservation if an event outside of our control (including industrial action, explosion, fire, flooding, and failure of power and/or water supplies or emergency evacuation) means that we are unable to make your room available to you. In this case we will contact you to let you know as soon as possible. If you have already paid for your room, we will refund your payment. If you have not yet paid for your room, you will not have to make any payment to us. Save as set out above, we will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations that is caused by an event outside of our control. This does not affect your statutory rights.
